Once you have established your brand partners, measurement units, and product categories, you can officially build your stock catalog. In CloudMA ERP, all core inventory items are managed within the Product List dashboard, which serves as your main catalog hub.
When you open the Product Module and click Product List, you are greeted by your main management screen.
Before creating new items, it is helpful to know how to navigate this page:
The Master Inventory Table: This data ledger displays every product currently available in your system. It tracks live information including the product image, unique item code, brand association, active stock quantity, cost vs. selling price, and total calculated stock worth.
Advanced Multi-Field Filters: At the top of the screen, you can sort through thousands of SKUs in seconds. Use the dropdown menus to filter by Category, Type, Brand, Unit, Stock Type, Production Status, Material, or Label, and then click the blue "filter" button.
The Action Buttons: Directly below the search filters are the two pathways for adding items: "+ Add Product" and "Import Product".
If you have a single new product or a unique arrival to register, clicking "+ Add Product" opens a detailed, multi-part creation form.
As shown in above first image , begin by populating the structural fields. Fields marked with an asterisk (*) are strictly required:
Product Type *: Choose your item classification (such as Standard).
Product Name *: Type the official item description. This specific text is what will print out clearly on customer bills and receipts.
Product Code / Item Code *: Enter a completely unique alphanumeric string for the item. You can also click the blue refresh arrows next to the field to let the system generate a secure code automatically.
Barcode Symbology *: Choose your rendering standard (e.g., Code 128).
Categorization & Branding: Use the dropdown fields to select the appropriate Product Brand and Product Category that you configured in earlier setup stages.
Unit Quantities *: Select your tracking metrics from the dropdown fields for Product Unit, Sale Unit, and Purchase Unit.
Financial Mapping *: Input your exact financial metrics in the fields for Product Cost, Product Price/Selling Price, and Minimum Price. You can use the blue refresh button to sync values or recalculate layouts instantly. the minimum value is a value that is between in cost and selling price.
Alert Quantity: Input a minimum threshold value. The system will automatically monitor this and notify your team when stock levels fall below this mark.
Scroll down to access the detailed structural checkboxes shown in Second image. Use these triggers to customize exactly how CloudMA ERP handles the item in your warehouses and sales logs:
Variant & Warehouse Flags: Check the boxes if the product features unique color/size variants, features distinct price sheets across different warehouses, or tracks specific batch and expiration dates.
Manufacturing Toggles: Indicate if the item is an active raw material or requires dedicated production assembly pipelines.
Serialization Custody: Turn on strict tracking flags if you need to register unique individual numbers, such as electronics tracking via IMEI or Serial numbers.
Finalizing Creation: Once your settings are chosen, click the dark blue "Add to Bucket" button at the very bottom left to save the item to your active inventory.
When launching a new storefront or onboarding hundreds of products at the same time, manual creation is inefficient. CloudMA ERP includes a bulk upload tool to handle this quickly.
Click the light blue "Import Product" button on the main screen to bring up the upload window.
Click the bright blue "Download" button under the Sample File section to save the official spreadsheet blueprint to your computer.
Open the file in Excel or a similar spreadsheet app and fill out your columns line-by-line while strictly following the system's Validation Rules:
code*: Must be entirely unique and cannot be repeated anywhere in the system.
name*: Must contain clean text. Do not use commas ,, single quotes ', double quotes ", or brackets [].
category*: Must match an existing category exactly (if it doesn't exist, the system will automatically generate a new one).
System Flags (is_batch*, is_serial*, is_production*): These fields are strict binary inputs. You must type either a lowercase "yes" or "no" exactly.
Pricing Columns (cost*, price*, minimum_price*): Enter raw numerical data only. Do not insert currency symbols, commas, or formatting signs.
Save your finalized spreadsheet layout as a .csv file.
Go back to the import window, click "Choose File", select your file from your computer, and click "Validate" followed by "Submit" to update your master list instantly.
